Cancellation & Appointment Policy

At Nottingham Physio, we understand that circumstances can change and you may occasionally need to cancel or reschedule an appointment. However, appointments are reserved specifically for you, and late cancellations can prevent us from offering the appointment to another client.

To ensure that our appointment system operates fairly and efficiently, we require a minimum of 24 hours’ notice for cancellations or requests to reschedule.

Cancellations

Cancellations made with at least 24 hours’ notice will not incur the full appointment fee.

Where an appointment has already been paid for and is subsequently cancelled with the required notice, any applicable refund will be subject to a £5 deduction to cover payment processing and transaction costs incurred through Stripe.

Late Cancellations & No-Shows

A cancellation made less than 24 hours before the scheduled appointment time, or failure to attend an appointment without prior notice, will be classed as a late cancellation or no-show.

In these circumstances, the full appointment fee will be payable. This applies whether the appointment was originally paid for in advance or was due to be paid at the time of attendance.

The charge reflects the appointment time that has been specifically reserved for you and which, due to the short notice or non-attendance, may not be possible to offer to another client.

Unpaid Appointments

Where an appointment has not been paid for and is subsequently subject to a late cancellation or no-show, the outstanding appointment fee will become payable.

Any outstanding balance must be settled before further appointments can be booked.

Exceptional Circumstances

We understand that exceptional circumstances, including genuine emergencies, may occasionally prevent you from providing the required notice. Such circumstances will be considered at Nottingham Physio’s discretion and may be taken into account when applying this policy.

How to Cancel or Reschedule

If you need to cancel or reschedule an appointment, please notify us as soon as possible using one of the following methods:

Providing as much notice as possible allows us to offer appointments to other clients and helps us maintain an efficient service for everyone.
